Invoices and payment

Every charge produces an invoice in the app. A billing contact can see invoices without being an admin. Organizations that must buy by purchase order are invoiced by arrangement.

The short answer

Charges are made to the card on file when you buy, change or renew, and the amount is shown before you confirm. Invoices are listed on the Billing screen with their number, date, description, amount and status, each with a PDF link; receipts are emailed to the billing contact. Payment is by card. Organizations that must buy by purchase order or contract can be invoiced instead, by arrangement.

The card

Payment method on the Billing screen shows the card on file, with Add a card or Replace card. Card details are entered into a payment form served by Stripe and are never seen or stored by Data Tactical Group. Only the owner or a billing contact can change the card. If a renewal is declined the invoice stays open, marked Past due, and the Billing screen offers to update the card and pay it; see past due and suspension.

The billing contact

The person holding the purchasing card is often not a user of the product. Making them a billing contact lets them manage the card, the plan and the invoices, and receive the receipts, without being an admin. The owner, or an existing billing contact, sets it on the Members screen.

Invoiced organizations

An organization that cannot pay by card can be billed by invoice under a written agreement. Its plan, seats, counties and the API add-on are set by Data Tactical Group under that agreement, and the Billing screen carries a Managed by contract notice with the contract’s end date in place of the self-serve controls. Prices are on the pricing page. What changing a plan does is on changing plans.
